Introduction


Darkest Greetings, Envoys of Plagueis. If you find yourself in possession of this document, then you are one of the trusted few, an active and integral member of Clan Plagueis, chosen as an Envoy to the Grand Master. Long has the Envoy system had its ups and downs, Brotherhood wide and on all levels, Clan and House. The time for this is over. With the restructuring of the Envoy System Brotherhood wide, the time has also come to set a definitive set of guidelines and regulations concerning the role and duties of Envoys assigned to Clan Plagueis and its Houses. The following manual will help you to better guide your members holding the rank of Jedi Hunter and below to timely rank advancement and increasing active and interest in the Brotherhood. It will help you to instill pride for the Clan in incoming members, and in return, the Clan and the Brotherhood as a whole will be rewarded with active, talented, and well-informed members. So it is with this train of thought I present you with the Clan Plagueis Envoy System.

Section I: Being an Envoy


As an Envoy, it is your duty to help to train and inform new members. It is all too easy to forget how overwhelming everything can be in a club this size when you first join. The sheer amount of information alone can take months to learn and get used to. The massive amount of activities and projects available to all of us can be daunting to say the least. This is where you come in. You are the first smiling face a new member should see when he/she first joins the Brotherhood. You are the “Welcome Wagon”, and the impression you make on any new member will be the most important, and probably the most lasting.

All too often a member will join, either have minimal or no contact from a member “in the know”, and either go inactive or to another clan who might have had a member who was more helpful. You are the representative of this clan, and your respective house. The image you project to a new member, in terms of helping them get accustomed to their new surroundings, will be the image cast on the Clan in the mind of the new member. If a new member does not think too highly of his/her initial encounter with the clan, they WILL be inclined to either quit or find more suitable surroundings (another Clan). Not only is this harmful to the Clan, it is harmful to the entire Brotherhood, as it creates negativity. Healthy competition between clans is good; dislike towards another clan because a new member did not care for initial treatment, or the lack of in a lot of the cases, is very unhealthy for the existence of the environment we are trying to promote; Star Wars fans having fun by interacting with like-minded people.

You are Envoys of the Grand Master, representatives of your Clan and respective Houses. You are the “go to” person, the one a new member will know they can fully count on to steer them in the right direction when they falter either by neglect or of their own indecision or ignorance. You are the guiding light in their careers to at least the rank of Protector, and in some cases even higher. You represent the Clan at its best, and you must do so proudly, without fail, and to the best of your ability. Being an Envoy takes a dedication like no other, and only 110% will do. Keep this in mind as you carry out your mission.

Subsection a: Basic Envoy Duties (taken from the Codex)


This section of the Guide explains the basic duties of an Envoy according to the Dark Brotherhood Codex. These duties are utilized in different forms throughout the Clan Plagueis Envoy System. Make note that these are note the specific duties for Envoys within Clan Plagueis and should only be used as guidelines. The actual duties of Plagueis Envoys are detailed in separate sections.

1. A new member joins and is assigned to a clan. The Clan-level Envoy will receive a dossier-activated e-mail. The Envoy should, as soon as possible (preferably within 24-36 hours) e-mail the new member. They should introduce themselves; direct the new member to the Shadow Academy, and to important communication elements such as IRC and the message boards. They should also highlight methods of promotion beyond apprentice. A form letter or a personalized letter can be used for this.

2. The new member passes the Test of Lore and is transferred to the clan. At this point, the House-level Envoy should contact the new member. They should introduce themselves, the House summit, battle teams, and reiterate the communication elements such as IRC. They should encourage the new member to do something to earn their first promotion (rather than simply explain the possible options). Once again, a form or personalized letter may be use.

3. The new member has become active and is involved within the house and clan. All Envoys should keep an eye on new members, perhaps checking in on them to encourage them and see if they need any help. The Envoys should work with the Summits to help new members reach the rank of Protector within the first month if at all possible.

Section II: Clan Envoys (KCE)


To be a Clan envoy is a great responsibility. Not only must you have the time to fill this position, but you must possess the ability to perform and carry out the duty as well. In this section, we will cover what is expected from a Knight Class Envoy operating on the clan level. Duties will be outlined and standards will be set to ensure that any “changing of the guard” will adhere to an organized and defined set of rules and duties.

Subsection a: Clan Envoy Duties


1. The appointed Clan envoy will oversee the performance and duties of the House Envoys. This will include gathering from them a weekly report on the status of any member of the said House Envoy’s members below the rank of Protector and in some cases up to the rank of Jedi Hunter, if the individual does not have a Master. The Clan Envoy will also be readily available to aide House Envoys in any way so that they may perform their duty to the best of their ability.

2. The appointed Clan Envoy will enforce the set doctrine of the Clan concerning the handling of House Envoys and new clan members below the rank of Dark Jedi Knight.

3. The Clan Envoy shall maintain and enforce the Master-Student Program set forth by the Clan Summit. This will include the accepting of new Masters, the approval of pairings between Masters and Students, and the keeping of all records pertaining to the activity and interaction between the Master and the Student. The Clan Envoy shall also aide the Clan summit in screening and accepting new Masters into the program.

4. The appointed Clan Envoy shall send at the minimum a monthly report to the Knight Commander, and include with it the reports from the House Envoys and Assistant Envoys. This report shall be one report, sectioned off by Clan and each House, to make the Knight Commanders reading of the report easier and hassle free. This report is also to be CC'd to the Clan Summit for their records.

5. The appointed Clan Envoy shall take an active interest in all clan members below the rank of Dark Jedi Knight, regularly monitoring their progress in advancement to the rank of Dark Jedi Knight, if necessary. This will be done in the form of the House Envoy reports and speaking either via Message Board, e-mail, or IRC to the member. This also includes evaluating progress of advancement or the lack thereof. The Clan Envoy shall maintain an open door policy concerning all clan members. Refusing aid and information, and neglecting requests for help from one of these members is not an option and will result in the Clan Summit performing an evaluation on the ability of the Clan Envoy to perform his/her duty to the Clan.

6. The appointed Clan Envoy is required to give approval on all promotions from Protector to Dark Jedi Knight, or in other words those that require a task to be completed. For those promotions below Protector, the Clan Envoy should be consulted but would normally leave these promotions in the hands of the House Envoy and Summit.

7. The appointed Clan Envoy is charged with specifically overseeing the advancement of all members ranked Protector to Jedi Hunter Dark Jedi Knight. For those with the rank of Protector to Jedi Hunter who have Masters, the Clan Envoy should step aside and allow the Master to guide their student. However, for those without a Master the Clan Envoy is tasked with seeing the elevation of them. Therefore, the Clan Envoy shall serve as the “defacto” master for these Protectors-Jedi Hunters without masters. It is recommended that the Clan Envoy not take a student if there is a current master shortage. Please note that while the Clan Envoy takes specific interest in the Protectors and above, he is still responsible for all Journeymen.

8. The Clan Envoy is responsible for creation of the tasks, including the Master’s Trial for the Protectors and Jedi Hunters without Masters. The Protector to Guardian and Guardian to Jedi Hunter tasks must be approved by the House Summit and Master’s Trial must be approved by the Clan Summit as the Master-Student Program and Trials of Plagueis demand.

9. The appointed Clan Envoy shall create competitions specifically for certain classes of ranks, below Dark Jedi Knight in the Clan. These competitions allow for members below Dark Jedi Knight to fulfill necessary promotion requirements and continue to be active. Such competitions should not be exceptionally challenging but should possess a level of difficulty expected for the participating rank classes.

10. The appointed Clan Envoy will endorse the Clan Plagueis Envoy Agreement. The Consul and Proconsul will assure that the Agreement is signed to assure that the Clan Envoy fulfills all duties to the utmost. It also signifies that the Clan Envoy understands all documents relating to the Clan Plagueis Envoy System, including the Master-Student Program, Promotional Guidelines and this document.

Performing the duty of the Clan envoy is not an easy one if you are not prepared. It takes dedication, is very time consuming, and there is little room for error as the continual stability and growth of the Clan, and the Brotherhood itself, depends on it.

Section III: House Envoys (ENV)


House Envoys are the first in line contact with new members once they have passed the Test of Lore and assigned to the House. They are the envoys that will shape and mold the new members into working parts of the well-oiled machine that is Clan Plagueis. House envoys will have the most contact with the new members of their Houses, and must be dedicated, willing to work, and possess well above average communication skills as not only will they be in contact with new members, but will work closely with their House and Clan Summits as well. In Clan Plagueis, the House Envoy holds the position of House Rollmaster. The Quaestor and Aedile may give side tasks to the Rollmaster in addition to the designated Envoy tasks. This section will outline what is expected of all House Envoys.

Subsection a: House Envoy Duties


1. The appointed House Envoy shall maintain information on the progress of ALL members of his/her respective Houses members below the rank of Protector. This includes communicating with Battle Team Leaders, Quaestors, and Aediles to keep tabs on activities given and any upcoming promotions being considered.

2. The appointed House Envoy shall send out a welcome letter, introducing themselves to new members once they are assigned to the House. This can be either a structured letter with appropriate information referencing the basics, such as communications on the Message Boards and IRC and the rank structure, to include names of all summit members for the Clan and the respective members House. Also, a sample of current activities that can be done to gain the next rank would be acceptable. The idea is to inform the new member, not confuse or overwhelm them, so keep it basic but detailed. The welcome letter will be CC'd to the Clan Envoy, Knight Commander and the House summit of the House receiving the new member.

3. The appointed House Envoy shall make an attempt to contact each member below the rank of Protector no less than twice a week by e-mail to obtain information as to their status. This lets the Envoy know the member is active, and what the member is doing to advance in the ranks. Information obtained will be included in the weekly report to the Clan Envoy. All Envoy based communications should be CC’d to the Clan Envoy, Knight Commander, and possibly the House Summit (at their request).

4. The appointed House Envoy’s emails to members below the rank of Protector, should personalized and include promotion requirements (from the Plagueis Promotion Guidelines). In addition, emails may include competitions, IRC information and any other pertinent information that members below the rank of Protector could benefit from. Remember not to overwhelm these members, so separate emails with various focuses are recommended.

5. The appointed House Envoy, in addition to emailing those below the rank of Protector, should make an effort to communicate with these individuals by other methods, such as the Message Boards and IRC, whenever possible. The Clan Envoy may assist in this communication.

6. The appointed House Envoy will assist the Clan Envoy in creation and executing of competitions for certain classes of ranks, below Dark Jedi Knight in their House.

7. The appointed House Envoy shall be consulted and give input on all promotions to the rank of Protector. While he or she may not prevent the promotion, the Envoy’s input should be considered highly.

8. The appointed House Envoy is charged with overseeing the advancement of all members below the rank of Protector. For those with the rank of Protector to Jedi Hunter who have Masters, the Envoys should step aside and allow the Master to guide their student. However, for those without a Master the Clan Envoy is tasked with seeing the elevation of those with the rank of Protector to Jedi Hunter and the House Envoy no longer needs to contact them, unless asked by the Clan Envoy to do so.

9. The appointed House Envoy will write and send a report weekly to the Clan Envoy on the status of the members of the House below the rank of Dark Jedi Knight. This report need not be greatly detailed, just an overview or summarization of activity and promotions. Leave the detailed reports to the Battle Team leaders and the House Summit. The weekly report must be written and sent to the Clan Envoy via e-mail no later than Saturday Night. In the event you know you will be late with the report, please let the Clan Envoy know no later than two (2) days before it is due.

10. The appointed House Envoy shall consult with the Clan Envoy with any concerns whereas the house members below Protector are involved. This could be asking for advice on helping a member, or to bring to the attention of the Clan Envoy of any problems that arise concerning the said members.

11. The appointed House Envoy will by any reasonable means help new members learn their way around and get adjusted. This will include suggesting competitions, shadow academy courses, and various other activities.

12. The appointed House Envoy will read and become well versed in the Clan training doctrine. There are many activities within the House and Clan that can be done, and the House Envoy must be familiar with these as well as House procedure in order to better assist the new member and the House Summit.

13. The appointed House Envoy will assist the Clan Envoy in any way requested concerning the training and handling of members below the rank of Protector.

14. The appointed House Envoy may acquire the help of one (1) Assistant Envoy. Assistant Envoys will be submitted to approval of the Clan Envoy by the requesting House Envoy. Any reports received from the Assistant Envoys will be included in the report sent to the Clan Envoy, in its own section. The Assistant Envoy position is part-time.

15. The appointed House Envoy will endorse the Clan Plagueis Envoy Agreement. The Clan Envoy will assure that the Agreement is signed to assure that the House Envoy fulfills all duties to the utmost. It also signifies that the House Envoy understands all documents relating to the Clan Plagueis Envoy System, including the Master-Student Program, Promotional Guidelines and this document.

Section IV: Assistant Envoys


These are the lowest of all Envoys and they are not full members of the society. They are normal members specifically charged with greeting and helping new members. They are under the direction of their House-level Envoy. This position is optional, may be used to satisfy any position requirements for advance, and appointment of Assistant Envoys requires approval from the Clan Envoy, who will then submit to the Knight Commander. There shall be no more than one (1) Assistant Envoy per House, and an Assistant Envoy to a Clan Envoy would be extremely rare. The position can be rotating, as well. If a regular Envoy goes on leave, an Assistant Envoy may fill in for him with the approval of the Clan Envoy.

Subsection a: Duties of Assistant Envoys


1. The selected Assistant Envoy shall assist the House envoy in whatever capacity is needed by said House Envoy. This does not mean that the House Envoy may dump all the work on an Assistant Envoy.

2. The selected Assistant Envoy may, in the event of a Leave of Absence of the appointed House Envoy, fill in and perform the full duties of House Envoy for a short period of time. This is subject to the approval of the Clan Envoy and the Clan Summit. In the event the request is rejected, the Clan Envoy shall assume the responsibility for the said House until the return of the appointed House Envoy, or in the case of a non-returning envoy, the appointing of a new one via the Clan Summit.

3. The selected Assistant Envoy may submit a small detailed report to the House envoy. This will be left to the House Envoy's discretion, but in the event the Assistant Envoy does not submit a report, it is the House Envoys responsibility to have the information from the Assistant Envoy available in his/her report to the Clan Envoy.

4. The selected Assistant Envoy shall bring any concerns and issues to the House Envoy handling them. If the House Envoy cannot come to a resolution, he may then go to the Clan Envoy for help.

5. Only under very extreme circumstances are Assistant Envoys to bypass House Envoys to get to the Clan Envoy. Even under the direst of situations, such as an AWOL House Envoy, a House Envoy not doing his/her duty properly, the Clan Envoy will already be aware of it. That is how the system is set up, and there is no need for excess correspondence on top of the already massive amount the Clan Envoy deals with.

6. If a House utilizing a Battle Team as training unit, it is recommended that the Battle Team Leader be assigned as Assistant Envoy, to keep in direct contact with the Clan Plagueis Envoy Staff.

Conclusion


These are the guidelines. They are strict for a reason, and not following them will result in potential chaos. This may sound a little extreme, but inactive members cause bloat and are a strain on the Clan. Following this set of guidelines will ensure minimal inactivity and bloat, and will develop well-informed and extremely active and talented clan members. As mentioned before, more than once, being an envoy is not a duty for the lazy, the weak, or the undedicated. Our jobs are to help new members walk the path to the Dark Side and raise them in skill and rank in a timely fashion. This will prepare us for any battlefront, and will see us as the lead Clan when the Final Way is upon us.
